Information used by the service
We process the account and business details you enter, including names, email addresses, business phone numbers, business names and account roles. Online passwords are stored as hashes on the server; local business passwords are stored as salted hashes on that PC. Account sessions use authentication tokens.
Your workspace stores the records your business creates, such as products, categories, stock counts, prices, sales, customer details included in transactions, estimates, staff invitations and payment references submitted for business activation. Hosting systems may record technical information such as IP addresses, request times and errors for operation and security.
Why we use this information
We use it to provide and secure your workspace, authenticate users, apply business permissions, synchronise records, generate reports, process account approval and payment confirmation, and respond to support requests. Staff can access records according to their business roles. Authorised platform administrators manage approvals, account support and payment confirmation.
Files and image extraction
In online workspaces, files selected for inventory import are uploaded to our server for processing. Windows local mode processes XLSX and CSV imports on the PC; image/PDF extraction is unavailable in local mode. Images and PDFs selected for text extraction are sent to Google Gemini. Google's applicable service terms and privacy practices govern its processing, and free-tier processing may permit Google to use submitted content to improve its products. Upload only documents you are authorised to share, and avoid unrelated personal or sensitive information. You can use an XLSX or CSV product list without image extraction. Extracted rows remain a preview until you confirm the inventory import.
Uploaded background-processing inputs are removed when the worker reads them. Preview results expire after one hour and expired files are cleaned up on subsequent uploads; this is not a guarantee of deletion at exactly one hour.
Service providers and sharing
Hostinger hosts the application and database. Google processes image and PDF extraction; Firebase supports notifications on configured Android installations. Microsoft and Google also process information under their own policies when you use their stores or platform services. These providers may process information outside your country. We do not sell personal information or include advertising SDKs in POStockin.
Local storage and device access
The applications save authentication and workspace information on your device. Windows and Android use local databases and secure-storage facilities for sessions; web browsers use browser storage and application caches. Online workspaces support limited offline inventory and drafts; completed online sales and image extraction require internet. Windows local businesses store products, sales, reports and staff accounts on the PC and can operate without internet. Local businesses register their name, administrator contact, licence and installation identifiers and trial dates with our server when connected. Local inventory and sales are not uploaded. Activation requests and signed keys may be shared privately through WhatsApp for manual payment confirmation. Users can export password-encrypted backups; daily recovery snapshots are kept on the PC for up to 30 days. The app accesses files you select for import or export. Clearing browser data or removing a Store app can remove local-only drafts; synchronise before doing so.
Payments and retention
Business fees are quoted individually. Payments are made outside the app and an administrator submits the transaction reference for manual confirmation. POStockin does not ask for your Mobile Money PIN or banking password. Account and business records are retained to operate the service. Trial expiry or archiving an item does not delete business history. Historical sales and reports can continue to refer to archived items.
Your choices and requests
You can edit information where your role allows it, decline optional image extraction, and contact your business administrator about workspace records. For account access, correction or deletion requests, contact realfuad123@gmail.com with your account email and business name. Do not send your password. We may need to verify your identity and authority over the business. Removing an individual account does not automatically remove a business's transaction history; necessary accounting, security or legally required records may be retained. We will explain any limits when responding to your request.
Security, children and changes
Connections to our service use HTTPS, and access is controlled by account and business permissions. No storage or transmission method can guarantee absolute security. POStockin is a business tool and is not directed to children. We will update this page when our data practices change, with the effective date shown above.
